Administrative Investigations Intake Coordinator

The Administrative Investigations Intake Coordinator is responsible for the daily management of complaints received by the North Carolina Medical Board (NCMB).  The position will be responsible for incoming Administrative Investigations Section calls and any incoming mail related to Complaints received.  The position will report to the Administrative Investigations Manager.

Responsibilities

Responsible for the intake of all web-based complaints, mailed in complaints, e-mailed complaints, complaints from the prison system and other related documents into the database utilized by the North Carolina Medical Board.

Accountable for case management of the Complaint cases:  create initial complaint case file, communicate professionally with complainants and licensee requesting pertinent information relative to the complaint.  Create modifications to the outgoing letters according to the specifics of the case.

This position will serve as the single source to communicate with complainants who have questions or wish to provide additional information.

Interpret complex complaints and prepare case for documentation requests through Orders to Produce (OTPs).

Initiate discussions with the Administrative Investigations Manager, Office of Medical Director, Investigations, and/or Legal on complaints that may need additional review prior to entering the investigative process.

Answer Administrative Investigations Section calls. Requires providing knowledge to the public on many levels, including but not limited to medical record release, billing, Medicare/Medicaid, other appropriate referral sources and a working knowledge of the North Carolina Medical Board.  Instruct callers on how to submit complaints which requires working knowledge of the North Carolina Medical Board’s website.  

Provide multi-role functionality for Investigations Department staff.

Assists Administrative Investigations Manager with reviewing Senior Staff Review Committee Reports, Disciplinary Reports, Board Reports, and Work notes.

Excellent data entry skills and accuracy a must 
Proficient with Microsoft office software 
Proficient with Internet navigation 
Must be detail oriented and possess excellent organizational skills 
Effective interpersonal and communication skills and the ability to interface with personnel at all levels 
Work as a team member

Education & Experience

Associate or Bachelor’s degree preferred 
Minimum of one-year relevant work experience in a health care environment
